Health And Safety Policy For Cleaners E3
This Health and Safety policy sets out how Cleaners E3 manages health, safety and welfare in the delivery of professional cleaning services. Our aim is to prevent injury and ill health for employees, contractors, clients and members of the public, and to maintain safe and healthy working conditions in all locations where we operate.
Policy Statement And Objectives
Cleaners E3 is committed to providing a working environment where risks are identified, controlled and continually reviewed. We will provide safe systems of work, suitable equipment, effective training and clear information to support safe cleaning operations in homes, offices and commercial premises. Health and safety performance is integral to the quality of our service and the reputation of our company.
Our objectives are to eliminate hazards where possible, reduce unavoidable risks to the lowest practicable level, comply with applicable health and safety legislation and promote a positive safety culture throughout the organisation.
Responsibilities For Health And Safety
Overall responsibility for health and safety rests with the company management. Management is responsible for ensuring this policy is implemented, maintained and reviewed. This includes providing adequate resources, setting standards, monitoring performance and taking corrective action where required.
Supervisors are responsible for day to day safety management, including communicating procedures, checking that risk controls are being followed, reporting incidents and supporting staff with any health and safety concerns.
All cleaners and other employees have a duty to take reasonable care of their own health and safety and that of others who may be affected by their work. Employees must follow safety instructions, use equipment as trained, report hazards and cooperate with all measures designed to improve safety.
Risk Assessment And Safe Systems Of Work
Cleaners E3 will identify hazards associated with cleaning tasks and assess the risks before work begins. Risk assessments will consider factors such as cleaning chemicals, slips and trips, manual handling, lone working, working at height on small steps, electrical equipment and interaction with building occupants.
Based on these assessments, we will develop safe systems of work that specify the correct methods, equipment and personal protective equipment for each type of task. These systems of work will be reviewed regularly and whenever new products, equipment or processes are introduced.
Use Of Cleaning Chemicals
All cleaning chemicals used by Cleaners E3 will be selected for effectiveness and safety. Safety data sheets will be held for all substances and used to determine appropriate handling, storage and disposal methods. Staff will be trained in the safe use and dilution of products, correct labelling, and what to do in the event of spills, splashes or accidental exposure.
Chemicals will be stored securely, kept in their original containers wherever possible, and never mixed unless specifically instructed by the manufacturer. Adequate ventilation will be maintained while using products that may release vapours or aerosols.
Equipment Safety And Maintenance
All cleaning equipment, including vacuum cleaners, floor machines, mops, buckets, small step ladders and electrical leads, will be maintained in safe working order. Equipment will be inspected regularly for damage, faults or excessive wear. Defective equipment will be removed from use until repaired or replaced.
Employees will receive instruction on the correct and safe use of each type of equipment and must not attempt to modify or repair equipment unless they are authorised and competent to do so.
Slips, Trips And Housekeeping
Cleaners E3 recognises that slips and trips are a significant risk in cleaning work. To control this risk, spillages will be cleaned promptly, wet floor signage will be used where floors are damp or being cleaned, and cables and equipment will be positioned to minimise tripping hazards.
Good housekeeping will be maintained at all times, ensuring that work areas are kept tidy, waste is removed promptly and access routes, stairs and fire exits remain clear.
Manual Handling And Musculoskeletal Health
Manual handling activities, including lifting, carrying, pushing, pulling and repetitive movements, will be assessed and controlled. Where possible, loads will be reduced, mechanical aids will be used and work will be organised to avoid unnecessary manual handling.
Employees will receive training on safe lifting techniques, posture, and how to recognise early signs of strain or discomfort. Staff are expected to follow guidance, avoid unsafe lifting and report any manual handling concerns to their supervisor.
Personal Protective Equipment
Cleaners E3 will provide suitable personal protective equipment where risks cannot be controlled by other means. This may include gloves, eye protection, protective footwear, masks or other items depending on the task and risk assessment.
Employees must use personal protective equipment as instructed, keep it in good condition and report any loss or damage so it can be replaced. Personal protective equipment is considered a last line of defence and does not replace safe working practices.
Lone Working And Site Security
Where cleaners are required to work alone, particularly outside normal business hours, the risks associated with lone working will be assessed and controlled. This may include sign in and sign out procedures, agreed check in arrangements and access to emergency contact details.
Cleaners must follow site security arrangements, ensure that premises are left secure on completion of work and never allow unauthorised persons to enter client properties.
Training, Information And Supervision
All employees will receive induction training covering the contents of this policy, emergency procedures and the specific hazards associated with cleaning. Ongoing training will be provided as needed, including updates on new methods, equipment or substances.
Information on risks and control measures will be communicated clearly, and supervision will be provided to ensure that procedures are understood and followed, particularly for new or young workers.
Incident Reporting And Emergency Procedures
All accidents, near misses, injuries, occupational health concerns and dangerous occurrences must be reported promptly to management. These events will be investigated to identify root causes and to implement measures that prevent recurrence.
Emergency procedures, including fire evacuation, first aid arrangements and response to chemical spills, will be communicated to staff working on each site. Cleaners must familiarise themselves with exit routes, assembly points and any site specific instructions before starting work.
Monitoring, Review And Continuous Improvement
Cleaners E3 will monitor health and safety performance through inspection, incident analysis, staff feedback and periodic audits. Findings will be used to improve our practices, update risk assessments and refine training content.
This Health and Safety policy will be reviewed regularly and updated when necessary to reflect changes in legislation, industry standards, company operations or identified risks. All employees will be informed of any significant changes and are encouraged to contribute suggestions for improving health and safety.
By working together and following this policy, Cleaners E3 aims to provide safe, reliable and professional cleaning services while protecting the wellbeing of everyone involved in or affected by our work.
